Locking Fields

 

Sales layer offers several ways to protect a field, avoiding unwanted modifications. Something to do not forget, when you have more than one user, working on the same account.

If you have the Workflows functionality available, it will be easier to specify what information you want to lock and which data users can access or modify, thus they will not see the fields you need to protect. Furthermore, no action would be completed without prior supervision, if desired. Check this tutorial to discover all its possibilities.

If you do not have Workflows included in your contract, you can use another option that can be very effective: you can lock fields in your forms. To do this go to Products > Actions > Redesign forms and click on Modify next to the field you want to lock. Here, you can select the option called Field locked.

As you can see in the last image, the field is inactive and no action can be taken. You could modify it only if you do the same steps, this time deselecting the Field Locked option.

If you do not want anybody to change this setting or lock the field, you can edit the user's permissions, so that, they cannot redesign the form. This can be done in Manage Users, updating the user information.

On the other hand, if we need to modify the value of a locked field at a given moment, we can use the Unlock option from the actions related to the field when we click on the Redesign form. This way, we can alter the value at a given moment without having to unlock the field for the whole table/users and then lock it again, later.

Please note, that the option of locking fields is especially, useful when you have an import connector that is, uploading content from an ERP, for instance. To prevent a user from making modifications, this will be overwritten, by the import connector later. We recommend locking the fields synchronized with the import connector exactly as shown, in this article.

Warning: the Locked Field option is, particularly recommended for the fields that are synchronized with the ERP.
