Creating Distribution Lists

If your account includes the extended DAM, you can create Distribution Lists from any of your libraries to easily share files with third parties, without requiring them to access the PIM.

Each Distribution List generates a unique URL that allows recipients to download a file containing the images and associated information you wish to share. The list is also dynamic, automatically adding new images to the file whenever they meet the specified filters, ensuring it stays continuously up to date.

How to Create a Distribution List

From the library, go to Actions and select Distribution List:


And create a new list:

To create the list, you’ll need to include a name and specify a filter according to your needs. You can choose from the following filtering options:

  1. Search Filter: Enter a keyword that yields the files you need to group.


 

  1. Tag Filter: select a tag that has been previously created in the library, to gather files with the specified tag.
  2. Folder Filter: select an entire folder if you want to group all its contents.

Additionally, you can specify the file type and whether the files are linked to any item. Once all necessary fields are completed, select Save List.  


In each list’s main view, a space will appear for easy access to the link once saved. Click Copy Link to copy it.

If you need to edit or delete a list, you can do so by clicking on the three dots and choosing the appropriate option.

With this link, anyone will be able to download current data for the selected files, including:

  • Reference: file name
  • Status: shows the item's status, indicating if it was imported correctly or has an error
  • Tags: any tags on the file will be listed here
  • Linked Tables: the tables in your account to which each file is linked
  • Current URL: the current download URL
  • Source URL: the original URL used to import the file if it was imported this way
  • Creation Date: the date the file was created. Note that in the files uploaded prior to the existence of this feature, null values will be displayed.
  • File Size (bytes): format option
  • Width: format option
  • Height: format option
  • Bits: format option

Tip: Distribution lists currently generate a CSV file that makes it easy to share image and file URLs for download through external systems. You can also integrate the CSV content into a Custom Entities table using an import connector.
This allows you to:
1. Add supplementary information to the CSV data for sharing purposes. 2.Download the information from the Custom Entities table (including the files, if needed) using standard PIM methods.
